1. To Adhere to Bid Process
To Manage/ensure the adherence of APAC team to the bid review process.
2. Bid Planning
To plan & monitor bid document preparation timeline & responsibility matrix for each bids. Review and agree to this plan with the appointed bid team members.
3. Bid Resourcing
To make the necessary staffing arrangements to resource the bid from relevant department.
4. Risk Management
Responsible to apply risk management procedures to the bid, both in terms of the risks involved with the bid itself and the perceived potential risks related to the project which is the subject of the bid. In particular to:
• Identify all sources of risk.
• Assess the effects of risk.
• Formulate strategies to address each risk.
• Include appropriate contingency provision in cost and time estimates.
• Ensure that the contingency cost provisions for the project risks are reflected in the QMS.
• Provide evidence to the bid review of actions undertaken to ensure that the proposed project has an acceptable degree of risk.
5. Proposal Preparation
Have overall responsibility for the content, co-ordination and production of the proposal and all other material required by the prospect in connection with this bid.
This includes ensuring that where applicable the proposal has been reviewed by appropriate staff.
6. Internal Review Material (QMS & BSS) Preparation
Responsible for ensuring the QMS and the BSS are prepared ready for the bid review meeting.
7. Bid Review
All bids need to have a bid review and be authorised before they are issued to the client.
Responsible for ensuring the necessary reviews get arranged (diary dates, conference call /room booking etc), as per the Bid Process and Level of Authority documentation.
8. Bid File
Responsible for ensuring an electronic bid file is maintained. Usually this will be kept on the Region’s bid share. As a minimum, this should include the bid control documents (bid qualification minutes, bid plan, QMS & BSS, bid review minutes), the requirement, the offer and internal and external correspondence.
A hardcopy file should be maintained of any key documents that cannot be included in the electronic file. |
